What information we may collect
Members – from you
From you we will collect the information we need to process your membership of the Club, any interest you express in the Club, and the details of any transaction we enter into with you. This may include your name, mailing address, email address, telephone number And relevant correspondence.
Members – from other sources
We may collect information about you from other sources, such as other photographic clubs and the media, including ‘social media’.
Non-members
We will collect only such information as you consent to share with us.
Legal bases for processing
Members
We process your information on the basis of our legitimate interest in running a photographic club on your behalf, and in maintaining a historical record of the Club’s activities and achievements.
Non-members
We process your information on the basis that we have obtained your consent to the specified processing.
How and where your information is held and processed
Your personal details are stored on secure memory systems. Any paper documents you have completed and any correspondence are held securely. To the best of our knowledge, we do not process your information outside the EU and EEA.
Your information is not subject to any processing which includes automated decision making.
Members
We process your information solely to manage the affairs of the club and contact you about Club business.
In the course of running the Club, we may, from time to time, need to pass your information to a limited number of organisations for their administrative purposes (see list below). We have verified that the respective organisations are compliant with the requirements of the GDPR and will not use your information for any purposes other than those authorised by us.
In order to process payment card and online transactions, it may be necessary for the payment processor to verify your personal details outside the European Union for the purpose of authorising the transaction.
Non-members
We may use your email address to send you information about the Club.
How we use your information
The Club’s website is maintained by the Club, though hosted by a third-party. The website uses cookies to facilitate management of your current connection only. Most browsers can be programmed to alert you before downloading cookies. However, if you decline to accept cookies some aspects of the website may not work as expected.
Retention period
Members
We will retain the personal information you provide for the duration of your membership, plus seven years. We may retain such of those information and information provided by other sources that form a historical record of the Club’s activities for an indefinite period for the purpose of research.
Non-members
We will retain the personal information you provide for so long as you provide your consent, plus one year. If you tell us that you have withdrawn your consent, we will continue to process your information only for such period as is necessary to complete any transaction which is in progress.

- Southern Counties Photographic Federation (SCPF), for the purpose of administering member club and competitions;
- Photographic Alliance of Great Britain (PAGB), for the purpose of administering member club and competitions;
- Photographic clubs in the UK, for the purpose of entering competitions;
- TSB, for the purpose of the Club’s banking;
- Holybourne Village Hall Trust, in relation to our use of the Hall for Club events;
- The media, including ‘social media’, for the purpose of promoting the Club, our membership and our activities, and the activities of photographic federations;
- Organisations offering support services to photographic clubs, for the purposes of printing, ordering products and services on your behalf, and organising events on behalf of the Club, our members and photographic federations.
